This privacy policy explains how Avalon Academic Center collects, uses, shares, and protects information through our website at https://www.avalonacademiccenter.com and through our tutoring services in Wylie, Texas.

We work with children, and we treat information about them accordingly. This policy explains what that means in practice.

Avalon Academic Center is part of the Avalon family of schools alongside Avalon School of Music. This policy covers Avalon Academic Center only.


Information We Collect

From parents and guardians. When you request information, book a diagnostic, or enroll a student, we collect your name, email address, phone number, and mailing address. If you enroll, we also collect billing information and your communication preferences.

About students. To provide tutoring, we collect the student's first and last name, grade level, school, academic strengths and needs, diagnostic and assessment results, session attendance, and progress notes written by instructors. We collect this information from you as the parent or guardian, from our own instruction and assessments, and from work the student completes with us.

Payment information. Tuition and fees are processed through a third-party payment processor. We do not store full payment card numbers on our own systems.

Automatically from our website. Like most websites, ours collects standard technical information such as IP address, browser type, device type, pages visited, and referring site. We may use cookies and similar technologies for this purpose, including advertising and analytics tools described below.

We do not collect information directly from children through this website. Our website is intended for parents and guardians.


Children's Privacy

Students under 13 do not create accounts on our website, and we do not knowingly collect personal information online directly from a child.

Where a student needs an account for instructional purposes — for example, an IXL account used for diagnostics and practice — we create that account using information you provide to us at enrollment, and we do so as part of the educational service you have engaged us for. You may review that account, request corrections, or ask us to close it at any time.

We do not use student information to market to students. We do not sell student information. We do not allow our service providers to use student information for advertising, profiling, or any purpose other than delivering the services we have engaged them for.

If you believe we have collected information about your child that you did not authorize, contact us at info@avalonacademiccenter.com and we will delete it.


How We Use Information

We use the information we collect to:

  • Respond to inquiries and schedule diagnostics
  • Enroll students and manage class scheduling and attendance
  • Build and adjust personalized learning plans
  • Assess progress and report it to parents and guardians
  • Process tuition, fees, and discounts
  • Communicate with you about your student, schedule changes, closures, and account matters
  • Send you information about our programs, if you have not opted out
  • Operate, maintain, and improve our website and our services
  • Meet legal and safety obligations

Who We Share Information With

We do not sell or rent your information or your student's information to anyone.

We share information with service providers who need it to deliver our services:

Opus1 — our enrollment, scheduling, and billing platform. Parent contact information, student enrollment details, scheduling, and billing records are stored here.

IXL Learning — the instructional platform used for diagnostics, skill plans, and at-home practice. Student first and last name and grade level are used to create and maintain student accounts. Progress and skill data generated through use of the platform is stored there and made available to you through your parent login.

Payment processing — our payment processor handles tuition and fee transactions.

Advertising and analytics providers — we may use Google and similar services to measure website traffic and the performance of our advertising. These tools collect website usage information as described above. They do not receive student academic records.

We may also disclose information when required by law, when necessary to protect the safety of a student, staff member, or the public, or in connection with a sale or transfer of our business.


Photographs and Media

We do not photograph, film, or record students for marketing, social media, or promotional use without separate written permission from a parent or guardian. That permission is requested separately from enrollment and can be withdrawn at any time by contacting us.


Cookies and Tracking

Our website uses cookies and similar technologies to remember your preferences, understand how visitors use the site, and measure advertising performance. Most browsers let you refuse or delete cookies through your browser settings. Some parts of the site may not work as intended if you do.

Our website may include links to other sites, including our enrollment portal and instructional platforms. Those sites have their own privacy policies, and we encourage you to read them.


Your Rights and Choices

At any time, you may contact us to:

  • See what information we hold about you or your student
  • Correct anything that is inaccurate
  • Request that we delete information we are not required to keep
  • Withdraw permission for photographs or media use
  • Opt out of promotional email or text messages

You can opt out of promotional messages by replying to any message, using the unsubscribe link, or contacting us directly. We will still send you messages about your account, your student's schedule, and center closures.

How Long We Keep Information

We keep enrollment and academic records for as long as a student is enrolled and for a reasonable period afterward so that families who return to us do not have to start over, and so that we can meet our tax, accounting, and legal obligations. When information is no longer needed for those purposes, we delete it or render it unidentifiable.


Security

We take reasonable steps to protect the information we hold. Access to student and family records is limited to staff who need it to do their jobs. Records stored on our systems are kept in access-controlled environments, and information transmitted through our website and enrollment portal is encrypted in transit.

No method of storage or transmission is completely secure, and we cannot guarantee absolute security.


Changes to This Policy

If we make material changes to this policy, we will post the updated version here with a new effective date and notify enrolled families by email.
